HR Associate/Assistant

Key Responsibilities

Recruitment & Candidate Management

  • Job Portal Management: Draft and post compelling job descriptions on job portals, ensuring compliance with TGFEP Fair Employment Guidelines.

  • Effective Screening: Conduct rigorous phone/video screenings to vet candidates for technical certifications (BCA/MOM licenses) and cultural fit for site environments.

  • Hiring Manager Liaison: Follow up closely with hiring managers to align on manpower needs, schedule interviews, and gather feedback to close vacancies efficiently.

Employee Lifecycle

  • Onboarding & Offboarding: Lead the orientation for new hires (office and site-based); and manage the exit interview process.

  • Benefits Administration: Manage group insurance (GHS/GPA/WICA), medical claims, and leave records; serve as the first point of contact for employee queries regarding benefits.

  • Employee Engagement: Assist in organizing company events, town halls, and long-service awards.

Compliance, Audit Support & Data Integrity

  • P-File Management: Maintain 100% accuracy of digital and physical Personnel Files. Ensure all documents (contracts, certificates, Work Pass copies) are audit-ready at all times.

  • Timesheet & Payroll Support: Consolidate and verify complex site timesheets and OT hours from project teams; resolve discrepancies before submitting data for monthly payroll.

  • Audit Assistance: Lead the preparation of documents for internal/external audits (ISO, MOM, or WSH compliance).

International Subsidiary Support (Australia)

  • Australia HR Coordination: Assist with HR-related matters for the Australia subsidiary, including understanding National Employment Standards (NES) and assisting with Australian employment contracts.

  • Global Communication: Maintain regular contact with Australia-based teams to ensure consistent application of HR policies.

Requirements

  • Experience: 1–3 years in HR, with experience in both recruitment and administrative compliance, preferably in the construction industry.

  • Knowledge: Familiarity with both the Singapore Employment Act and basic Australian Fair Work Act principles is a plus.

  • Skills: Highly meticulous with a "first-time right" attitude toward data entry and record maintenance.
