Personal Assistant – Financial Consulting Practice

We are seeking a highly organised, proactive, and dependable Personal Assistant to provide comprehensive administrative and operational support. Key Responsibilities
Calendar & Executive Support
- Manage a complex schedule of client meetings, reviews, and internal appointments.
- Coordinate calls, reminders, follow-ups, and meeting logistics to ensure seamless daily operations.
- Arrange business travel, accommodation, and detailed itineraries when required.
Client Relationship & Administrative Support
- Serve as a professional point of contact for clients, responding promptly to enquiries and coordinating appointments.
- Support the onboarding of new clients, including documentation, scheduling, and administrative follow-ups.
- Maintain accurate and up-to-date client records within internal systems while ensuring data integrity and confidentiality.
Documentation & Financial Administration
- Assist in the preparation of presentations, reports, proposals, and meeting materials.
- Organise and maintain confidential documents, contracts, and financial records.
- Support the tracking of business expenses, invoices, and payment records.
Operational Coordination
- Anticipate operational needs and proactively resolve administrative matters before they arise.
- Liaise with internal teams, insurers, financial institutions, and external partners to facilitate smooth business operations.
- Provide ad hoc administrative and operational support to ensure the consultant's workflow remains efficient and well organised.
Requirements
- Diploma or higher qualification preferred.
- Excellent organisational and time management skills with the ability to manage multiple priorities effectively.
- Strong verbal and written communication skills.
- High level of professionalism, integrity, and discretion when handling confidential information.
- Proficiency in Microsoft Office applications and common workplace productivity tools.
Preferred Qualifications
Candidates with any of the following will have an added advantage:
- Experience in the financial services, insurance, or wealth management industry.
- Basic understanding of financial products, advisory processes, and client documentation.
- Familiarity with CRM systems or client management platforms.
