We are looking for a Project Coordinator to support the successful execution of commercial projects through effective coordination of project administration, purchasing, logistics, order handling, and invoicing activities. This role plays an important part in helping ensure equipment and services are delivered on time and in line with customer expectations.

Working closely with Project Managers, Engineers, suppliers, and other key stakeholders, you will support projects from initiation through completion. Your contribution will help maintain accurate project documentation, ensure compliance with established processes, and support smooth project execution across multiple activities and priorities.

This position primarily supports customers and projects in the United States and Canada, providing exposure to a dynamic international environment. Because of this close interaction with English-speaking stakeholders, fluent English communication skills are essential for success in the role.

You will be based in Panama or Monte Mor, Brazil.

What you will do

As a Project Coordinator, you will:

  • Execute project invoicing activities in accordance with corporate governance policies and established financial processes;
  • Manage project purchasing activities, ensuring compliance with purchasing guidelines and supporting efficient project execution;
  • Coordinate logistics activities and support the importation process for project materials and equipment, helping to ensure timely delivery and customer satisfaction;
  • Ensure compliance with global standards, internal processes, and applicable local legal requirements;
  • Partner closely with Project Managers, Engineers, and other key stakeholders to support project reviews, cost analysis, and ongoing project follow-up;
  • Maintain accurate project documentation and data, recognizing the impact of data quality on purchase orders and other project-related activities;
  • Support warehouse-related activities, including equipment returns, physical inventory coordination, and scrapping processes;
  • Manage multiple projects and priorities simultaneously while maintaining a high level of organization and attention to detail;
  • Drive project productivity through the effective use of systems and tools, including OFCE, Planview, SAP, and Smart Sales;
  • Partner with cross-functional and international teams to proactively identify, address, and resolve project coordination challenges, supporting the successful execution of projects and achievement of key milestones.

We believe you have

  • Bachelor’s degree in Business Administration or a related field, or equivalent practical experience;
  • Solid experience in project coordination, project administration, or a similar role;
  • Strong knowledge of import and export processes and related logistics activities;
  • Good working knowledge of Microsoft Office applications and SAP;
  • Fluent English communication skills, as this role primarily supports customers and stakeholders in the United States and Canada; Spanish language skills are a plus;
  • Strong attention to detail and commitment to accuracy when managing project data and documentation;
  • Problem-solving skills, with the ability to identify issues and support effective solutions;
  • Strong teamwork and collaboration skills, with the ability to work effectively with a variety of stakeholders in an international environment.
