Provides administrative and analytical support to a government health office, managing schedules, correspondence, purchasing, and HR tasks using tools like Outlook and Capital HR.
This position is located within the Indian Health Service, Headquarters, Rockville, MD, in the Office of the Director for the Office of Environmental Health and Engineering (OEHE). Incumbent provides administrative, analytical and clerical support as a Staff Analyst to all OEHE staff. A REAL ID will be required beginning May 7, 2025, in accordance with 6 C.F.R. 37.5 (2021).
Analyzes office operations and recommends changes and improvements as needed. Evaluates and manages the flow of office work for the Director and staff. Maintains calendars, schedules appointments, and manages the suspense and pending task list using Microsoft Outlook. Assists in making necessary arrangements for conferences, meetings and conference calls. Tracks controlled correspondence using an automated tracking system. Serves as the purchasing agent for the Office using the authorized Government credit card and following all policies associated with the use of this card. Ensures requisitions are submitted properly and monitors progress within the automated purchase system. Supports the Director and staff in performing special projects and preparing reports. Performs analytical duties including assisting staff with their duties as necessary. Serves as timekeeper for the Office staff. Serves customers to assess needs, provide assistance, resolve problems, satisfy expectations, and answer questions. Receives visitors for the Office and escorts to the appropriate destination or staff member. Responds to complex inquiries for information and/or answers questions of substantive nature. Provides professional assistance to the staff as needed. Prepares and processes human resources actions. Supports the OEHE staff in performing special projects and preparing reports. Inputs personnel actions into Capital HR as a backup to Executive Officer.

Background Investigation Requirement: This position requires the successful completion of a federal background investigation as a condition of employment. A background investigation is a standard process used by the Federal Government to verify an individual's identity, employment history, education, and other relevant information to determine suitability for Federal service. Upon receipt of instructions, applicants must complete all required background investigation forms within five (5) calendar days of issuance. Timely completion is critical to avoid delays in processing or a determination of unsuitability. Financial Suitability Requirement: This position requires a review of the applicant's financial history as part of the personnel security and suitability determination.
