Assistant Supply (Aviation)
Job purpose
Assisting the supervisor in control room (into-plane and depot). Attend, monitor and assist in all control room operations (receiving, issuing, and loading of petroleum products) in the depot according to the instructions received from fuelling/depot supervisor depot officer and as per ADNOC distribution and the international standards recommendations.
Job specific accountabilities (part 1)
Operations management
- Where applicable, perform loading, unloading, airside activities and QC checks as per ADNOC distribution and the international standards recommendations and report to fuelling/depot supervisor depot officer.
- Where applicable, attend and monitor the Jet A1 loading operations and perform the filling of the delivery receipts (refuelling & defueling)/flushing form with all necessary mandatory technical data for validity of the consignment to be delivered and report to depot/fuelling supervisor.
- Assist in reconciling daily PTNs/PDNs delivery receipts (refuelling & defueling)/flushing form and meter reading statements. Inform depot/fuelling supervisor if there are any discrepancies.
- Follow up all pending, missing and unconfirmed PDNs/PTNs, delivery receipts for refuelling & defueling/flushing forms for all received, loaded and fuelled products.
- Assist to prepare daily stock statement based on real time for tank gauging view panel available in the control room and occasionally from storage tanks dips.
- Monitor all product movement operations and record all activities in the logbook during the working shift hours.
- Assist to maintain a daily record of own use diesel receipt and issue meter readings. Perform tank dipping and product samples for dedicated tanks to be sent to laboratory for quality control certification.
- Receive from fuelling/depot supervisor delivery receipts (refuelling & defueling)/flushing form returned from fuelling operators after discharging, refuelling/defueling, fueller loading.
- Assist to prepare monthly statement of receipts and deliveries and submit the report to depot/fuelling supervisor for review.
- Check documentation and ISO related documentation works on regular basis and follow the ISO procedure and work instructions relevant to work.
Receipt & loading operations
- Ensure valid STOs are placed in SAP system.
- Complete all necessary documentations upon receiving new AVGAS drums and update stock in SRVA system accordingly.
- Oversee loading operation and ensure the operation is carried out according to laid down procedures.
Job specific accountabilities (part 2)
- Report any spillage of products or any defects in bridgers and fuellers to the fuelling/depot supervisor.
- Perform offloading operation and ensure HSE procedures are followed throughout the operations.
- Perform product draining, sampling and physical dip from product storage tanks, vehicle etc. as instructed by supervisors.
Fuel farm quality control activity
- Perform visual tests to check the qualities of products such as assessing levels of bottom sediment, water and foreign materials in oil samples and notify the result to supervisors.

- Ensure sampling equipment including buckets, bottles, close-sampling systems, etc. are clean and good housekeeping standards are always maintained.
- Prepare and maintain required checklist and data sheet and handover to the supervisor for review and necessary action.
- Assist the supervisors for doing all periodical tests including but not limited to Millipore test, filter differential pressure test, electrical continuity check, fuelling vehicles weekly/monthly checks and depot weekly checks.
- Measure the temperature and density for JET-A1 product at regular intervals and handover to the supervisors for the purpose of quality assurance.
- Assist to perform and maintain complete necessary documentation such as Jet A1 tank receipt/drain details, Millipore testing, filter DP readings, filter maintenance records and carrying out the routine testing as scheduled (where applicable).
Airside operations
- Assist the fuelling supervisor in manpower distribution in airside.
- Ensure participation in resolving complaints raised by airlines.
- Assist the fuelling supervisor in maintaining proper utilization rate among the fuelling vehicles used for airside refuelling.
- Update Jet A-1 batch details and communicate it to all concerned team members whenever new batches are put into service.
- Cover fuelling operators shortages when necessary and assist in fuelling aircrafts and loading fuelling vehicles.
Job specific accountabilities (part 3)
Maintenance management
- Make routine checks to ensure that all equipment and facilities under his control are in good working condition and record any abnormalities and report to fuelling/depot supervisor.
- Ensure daily routine checks of all process equipment and facilities are in place. Attend to any repair/maintenance work on depot facilities in addition to troubleshooting and general maintenance activities.
- Raise work order requests in SAP system for defects and breakdowns of equipment at airport depot.
HSE and safety
- Assist the fuelling/depot supervisor and coordinate with HSE during emergency operation of the depot.
- Comply with WMS requirements and ensure being certified by the concerned HSE team as an "AA" level approver to cover HSE work requirements during fuelling/depot supervisor absence.
- Report safety observations and enter them in SAP system and ensure proper corrective action is taken.
Minimum qualification
Secondary school certificate with a diploma.
Minimum experience, knowledge & skills
- 3-4 years training in the relevant field in oil distribution field in a major petroleum company.
- Knowledge of English and Arabic.
- PC literacy.
- Valid UAE light and heavy driving license.
