As a Project Administrator, you'll provide critical support across all stages of project delivery, helping coordinate resources, manage documentation, track progress, and facilitate communication between stakeholders. Working as a key link between project teams, clients, suppliers, and internal teams, you'll help drive efficient project execution and contribute to delivering high-quality outcomes on time and within budget.
Skills and Experience
To be successful in this position, we are seeking candidates with:
Education:
Certificate or Diploma in Business Administration, Project Management, or a related field (preferred)
Experience:
3-5 years' experience in a Project Administration, Project Coordination, or similar support role.
Proven ability to support multiple projects and stakeholders in a fast-paced operational environment.
Demonstrated experience managing mobilisation and demobilisation activities, including travel bookings, accommodation arrangements, and client site inductions.
Previous experience mobilising personnel to major mining clients such as Rio Tinto, BHP, FMG, and Hancock Iron Ore will be highly regarded.
Experience using Pegasus, Enable, CMS and Aconex are highly desirable.

Sound understanding of project administration, documentation control, invoicing, and reporting processes.
Working knowledge of project lifecycles and basic financial administration, including purchase orders, invoicing, and cost tracking.
Ability to work proactively, identify priorities, and contribute to continuous improvement initiatives.

Key Responsibilities & Accountabilities
Project Coordination & Support
Provide high-quality administrative and coordination support to Project Managers and project teams.
Assist in the planning, scheduling, tracking, and reporting of project activities to support successful project delivery.
Maintain project documentation, registers, records, and filing systems to ensure information is accurate and readily accessible.
Coordinate mobilisation and demobilisation requirements, including travel, accommodation, inductions, and site access.
Manage project logistics, procurement activities, equipment deliveries, and site-specific requirements.
Liaise closely with Service and Installation teams to coordinate technician and installer allocations.
Financial & Commercial Administration
Prepare and process project purchase orders, job setups, and customer invoicing.
Monitor outstanding invoices and support debtor management activities in collaboration with the Finance team.
Assist Project Managers with quotation preparation, pricing administration, and project cost tracking.
Support the accurate recording of project-related financial information and documentation.
Reporting & Documentation
Generate project reports, including labour cost summaries, procurement reports, and job performance data.
Ensure all project documentation is maintained in accordance with company procedures and compliance requirements.
Prepare reports and project updates for management and key stakeholders.
Assist with internal audits and compliance activities related to project delivery and documentation standards.
Operational Support
Coordinate the ordering and distribution of PPE, uniforms, and project materials.
Maintain mobile phone, equipment, and IT asset registers.
Update workforce planning tools with project travel, training, induction, and mobilisation requirements.
Organise meetings, training sessions, workshops, and catering arrangements as required.
Respond to and coordinate internal and external enquiries in a timely and professional manner.
