SOKNA is looking for an Executive Assistant. This is a challenging role with tremendous opportunity to learn and grow. This Executive Assistant will be a jack of all trades and will report directly to the CEO. She/He must be extremely organized, highly focused, and efficient. She/He must be super punctual and attentive to detail. This person should be excellent at multitasking and comfortable with the chaos and fast pace of a startup. The Executive Assistant needs to be flexible, fast learner, and self-motivated.
Requirements
- Organize and manage the calendar of the CEO and the executive team. Book meetings, summarize pre-reads and set clear and efficient meeting agendas
- Attend meetings and take detailed notes. Identify, assign and track action items to completion
- Handle communication on various channels on behalf of the CEO
- Draft letters, documents, contracts and proposals in English and Arabic to various stakeholders and institutions
- Collect product feedback from customers and third party vendors on a weekly basis through written and verbal communication
- Run analysis and produce weekly data-driven reports and insights
- Prepare and present presentations internally and externally
- Handle sensitive and highly confidential information
- Enforce company rules and regulations in the workplace
- Coordinate travel arrangements for the CEO
- Organize small, medium and large scale events
- Handle and follow up on recruitment and hiring processes
- Monitor company and team expenditure and propose optimizations
- Collect, submit and reconcile expense reports for the CEO
- Own and handle office management duties
- Perform other duties as assigned by the CEO
Qualifications
- Bachelor’s degree from a reputable university. A master's degree is a plus
- 7 - 9 years of experience in an administrative, project management or similar role
- Highly organized, efficient, presentable, impact-driven, and process oriented
- Tech-enabled. Comfortable with Google Drive, spreadsheets and other tools
- Effective interpersonal skills, with the ability to communicate with diverse stakeholders to drive alignment
- Great with numbers with solid quantitative analysis skills
- Proficient in spoken and written English and Arabic
